How a Clear Systematic Review Workflow Transformed an Overwhelmed MSc Student’s Project

Every now and then, you get a reminder of what’s actually broken in academia, and it’s rarely the people. It’s the lack of a clear, humane process.

A few weeks ago, a master’s student came to me in full meltdown mode, because he’d been asked to produce a full-scale systematic review (something usually done by a whole research team) entirely on his own, with no training and no structure.

I want to share the story, not because it’s a “client win”, but because it says something bigger about the state of evidence synthesis and why so many students end up stressed to high hell for no good reason.

What I Saw Beneath the Chaos

By the time he reached me, he was managing:

  • An overwhelming search stage
  • Contradictory feedback from supervisors
  • A demanding clinical role
  • Multiple time zones
  • And the creeping belief that he was “failing” because he didn’t magically know how to do all of this

But underneath it all, he actually cared about the research question. His topic was, non-pharmacological, non-surgical interventions for stabilising hip fractures and relieving pain, which genuinely mattered to him.

Additionally, his problem wasn’t intelligence. It was the absence of a logbook. No search strategy or way of validating anything. No connection between his “golden papers” and the search he was trying to reverse-engineer. This was not a personal failure, but it did highlight a systems issue.

So we fixed the foundation: we wrote his exact question at the top of a simple logbook, captured his database choices, listed his golden papers by PMID, and built a transparent search strategy step by step, the way it should be taught, but rarely is.

What I Believe About Situations Like This

I don’t think it’s reasonable at all, to throw a lone student into the deep end with something designed for an entire research team and then blame them for drowning.

A few beliefs guide me in moments like this:

Process beats heroics. If you hand someone a clear pipeline (logbook → search blocks → translations → deduplication → screening → extraction → write-up), they can do far more than they think. Teaching shouldn’t be gatekeeping. Explain the “why”, can remove the mystery and make the method make sense.

People aren’t stuck because the workflow is opaque and stitched together from guesswork, it’s not an intelligence thing.

So instead of treating him like a junior who “should just know this”, I treated him like a collaborator learning a craft. We tuned his search using his golden papers and translated the strategy across PubMed, Embase and Web of Science. What Changed for Him

On paper, the outcome was great:

  • He ran a proper multi-database search
  • Completed screening independently
  • Wrote a clear, defensible methods section
  • Scored 84/100, marked by two professors
  • And received a recommendation to publish the review

But the more meaningful change was internal. He went from: “This is impossible.” to “I know exactly what the next step is.” Panic emails became structured updates. Guesswork turned into justified decisions.

What It Meant to Me Personally

I’ll be honest, I felt two emotions: pride and anger.

Pride, because he put the work in, followed the structure, and rebuilt his confidence from the ground up.

Anger, because he should never have been left to drown like that in the first place.

This experience crystallised something that sits at the core of why I’m building tools and systems for evidence synthesis. Most of the suffering in research has nothing to do with “hard science”. It’s the missing infrastructure.

The fact that someone can go from total overwhelm to a publishable review simply by being given a clear, calm, reproducible pipeline says everything.

What I do 1:1 (logbooks, golden-paper checks, search builders, explainable steps), needs to exist in software too. Not to replace the human side, but to stop people burning out because no one ever showed them the path.
